Administrative & Finance Support Officer (Part-time)

About KCIL

KCIL is a Disabled People’s Organisation providing practical support, advice and services that enable disabled people and carers to live independently. We work closely with local authorities, schools and communities and are a small, friendly team with a wide-ranging workload.

The Role

We are looking for a proactive, organised and tech-confident administrator to support our busy office and services.

This role combines:

General administration (approx. 14 hours per week)

Education budget monitoring support for our SEND team (approx. 7 hours per week)

While these are distinct areas, they sit well together for someone who enjoys variety, responsibility and working across different tasks.
This is a role for someone who is comfortable working independently, spotting what needs doing, and taking initiative rather than waiting to be directed.

Key Responsibilities

Office & Admin Support

Answering the main phone line and responding to the enquiries inbox

Providing a welcoming, helpful first point of contact

Maintaining office supplies and general office organisation

Supporting internal systems and day-to-day admin processes

Supporting KCIL events, including tracking attendance and basic admin coordination

Assisting with ad-hoc projects across the organisation

Finance & Monitoring Support

Completing and organising invoices for monthly reconciliation, ensuring all documentation is accurately filed and ready for review.

Managing petty cash records

Supporting our SEND team with education budget monitoring and tracking

Ensuring records are accurate, up to date and well organised

Communications Support

Basic support with social media and digital communications

Assisting with simple updates or content using templates and guidance

Essential Skills & Experience

Confident using Microsoft Office (Outlook, Word, Excel, SharePoint)

Comfortable learning and using digital systems

Strong organisation and attention to detail

Able to manage multiple tasks and priorities

A self-starter who can work independently and use initiative

Clear, professional communication skills (written and verbal)

Desirable (but not essential)

You do not need experience in all of the below — training and support will be provided, and we’re keen to work with people’s strengths. However, experience with any of the following would be an advantage:

Salesforce (particularly important)

IPECS One phone system (particularly important)

Sage or other accounting software

Canva

Mailchimp or Facebook Business Planner

Elementor

Adobe InDesign or Photoshop

If you are confident with technology and happy to learn new systems, we would still encourage you to apply.
